This role serves as the central coordinator for proposal and RFP efforts, partnering closely with subject matter experts, business development leaders, and marketing teammates to translate technical and strategic content into compelling, client‑ready proposals and RFP responses. In addition to proposal ownership, this role supports other marketing and content initiatives as bandwidth allows, contributing writing, editing, and organizational expertise to broader content efforts while managing and delivery RFP responses and proposals as the primary priority. Essential Duties and Responsibilities Proposal & RFP Ownership Serve as the primary owner of DMA's proposal and RFP response process, managing submissions from intake through final delivery. Coordinate proposal timelines, responsibilities, and deliverables to ensure on‑time, high‑quality submissions. Translate complex technical, regulatory, and service‑line content into clear, persuasive proposal narratives. Ensure proposal and RFP responses align with client requirements, evaluation criteria, and submission guidelines. Maintain proposal quality, consistency, and compliance across all submissions. Content Development, Editing, & Quality Control Write, edit, and refine proposal narratives, executive summaries, project descriptions, expert profiles, and related content. Ensure all proposal and RFP response content aligns with DMA's brand voice, messaging standards, and value proposition. Proofread and quality‑check proposals and RFP responses for clarity, accuracy, formatting, and completeness prior to submission. Incorporate feedback efficiently while protecting narrative cohesion and clarity. Cross-Functional Collaboration & Coordination Partner closely with Business Development, Marketing, and service line subject matter experts to gather input and insights. Facilitate working sessions and follow‑ups with contributors to meet proposal deadlines. Provide guidance to internal contributors on proposal structure, tone, and best practices. Serve as the central point of communication for proposal‑related activities. Proposal Library, Templates, & Process Improvement Maintain and organize a centralized proposal content library, including expert profiles, project descriptions, and boilerplate materials. Update templates, tools, and reference materials to improve proposal efficiency and consistency. Identify opportunities to improve proposal workflows, processes, and tools over time. Support efforts to standardize proposal best practices and reduce re-work. Broader Content Support Support other marketing content initiatives as bandwidth permits, such as thought leadership, marketing collateral, or internal communications. Assist with content drafting, editing, or coordination for marketing initiatives outside of proposals. Collaborate with content and design teammates to ensure alignment across proposal and marketing materials. Continuous Improvement & Additional Responsibilities Stay informed on proposal best practices, industry trends, and client expectations within professional services. Recommend improvements to proposal strategy, messaging, and presentation based on outcomes and feedback. Perform other duties as assigned. Education and Qualifications Bachelor's degree in Communications, Marketing, English, Journalism, Business, or related field 4-7 years of experience in proposal management, professional services marketing, or content development Demonstrated experience managing RFPs or complex proposals in a B2B or professional services environment Excellent writing, editing, and storytelling skills with meticulous attention to detail Ability to manage multiple deadlines and priorities in a fast‑paced, deadline‑driven environment Strong organizational and project management skills Excellent interpersonal and communication skills, with the ability to collaborate across disciplines Familiarity with editorial style guides (AP Style, Chicago Manual of Style) Strong working knowledge of Microsoft Word, Excel, Outlook, and PowerPoint Experience supporting proposal efforts or marketing in consulting, tax, engineering, legal, or other professional services preferred Familiarity with proposal managemen
