Manage calendars, meetings, travel arrangements, and scheduling for executive leadership
Coordinate meeting logistics, prepare agendas and materials, and support special projects and initiatives
Assist with budgeting, billing, reimbursement processing, and document control systems
Maintain spreadsheets, databases, electronic records, and reporting tools for Patient Experience initiatives
Develop forms, communications, and processes to support department operations
Collaborate with the Patient Experience Data Analyst to ensure reporting accuracy and timely communication
Support policy and procedure management and record retention activities
Interact professionally with executive leadership, board members, physicians, patients, external partners, and community stakeholders
Handle highly confidential and sensitive information with discretion and professionalism
Provide administrative and clerical support in a dynamic, deadline-driven environment
Requirements
Bachelor's degree required
Minimum of 4 years of executive assistant and/or advanced administrative support experience
Experience supporting educational programming or related initiatives
Exceptional verbal and written communication skills with strong professional presence
Ability to interact effectively with patients, physicians, government officials, civic leaders, and executive leadership
Demonstrated ability to manage multiple priorities independently in a fast-paced environment
Strong organizational, critical thinking, and problem-solving skills
Advanced proficiency in Microsoft Office applications including Word, Excel, PowerPoint, Outlook, Access, and Visio
Ability to maintain complex files, databases, reports, and confidential records
Advanced secretarial or executive administrative training

Role Overview
Under the direction of Hospital Administration leadership, the Assistant to the Corporate Patient Experience Officer provides high-level administrative, operational, and communication support for the Patient Experience program. This position plays a key role in coordinating executive activities, maintaining critical records and reports, supporting organizational communications, and ensuring the smooth execution of departmental initiatives.
