Job Summary The Special Events Manager is a key member of the Special Events Team, responsible for planning, coordinating, and executing a wide range of events. This role focuses heavily on logistics, cross-functional collaboration, and delivering seamless, high-impact experiences for both customers and internal stakeholders. The Special Events Manager works closely with internal teams and external partners to ensure all events are executed efficiently, align with strategic goals, and meet the highest standards of quality. Role Description Manage the full event lifecycle from initial planning through post-event wrap-up. Develop and execute event logistics, including housing lists, catering, registration, and event day schedules. Provide on-site event support by managing run of show and resolving issues in real time. Act as an on-site contact and decision-maker during events. Create and maintain detailed event resumes to ensure alignment and visibility across teams. Research and evaluate venues based on availability, feasibility, and event needs. Request proposals, review bids, and coordinate vendor agreements and payments. Serve as the primary liaison with venues and vendors to communicate requirements and ensure successful execution. Ensure alignment with overall event scope, objectives, and messaging. Collaborate with leadership on larger initiatives and support the development of new event concepts. Strategically plan and execute logistics for assigned events, working both independently and as part of a team. Manage event registration platforms, communications, and attendee engagement using Cvent, including registration, onsite check-in, event apps, surveys, and related tools. Utilize Asana to track tasks, manage workflows, and coordinate deliverables across events. Enhance the attendee experience by incorporating engaging content and leveraging available event tools. Track and report event financials based on budgets provided by Project Managers. Monitor expenses and ensure alignment with budget expectations. Monitor event performance, gather data, and produce detailed reports to provide insights and recommendations for future events.
